Transcript Withholding

Colby Community College abides by 34 CFR Part 668 in regard to Transcript Withholding for students who have received Title IV Funds (Federal Financial Aid). In accordance and compliance with 34 CFR 668.14(b), some transcripts will have information redacted on their transcript for lack of payment and/or use of Title IV Funds.

 

When will a transcript be held and/or have portions redacted?
A transcript may be held or redacted if a student received Title IV Funds and has a payment plan in good standing (a minimum of one payment must be made prior to release). Their transcripts for any unpaid balance will be released for that term.

A transcript may be held or redacted if a student has never utilized Title IV Funds to pay for a semester and has a remaining balance regardless of a payment plan; their transcript will not be released.

A transcript may be held or redacted if a student has utilized Title IV Funds for a semester that is not paid in full but self-paid for a semester that is paid in full, only the semester(s) which are paid in full and Title IV Funds are utilized, and payments are in good standing can be released, but the unpaid term will be redacted and semester grades and any awards/degrees will be withheld as well

A transcript may be held or redacted if a student is on hold for any charges/fees beyond tuition and fees (e.g., athletic, housing, library, discipline, etc.). The entire transcript will not be released.

If a Partial Transcript Hold has been paid for and sent, once the balance is paid in full, it is the student’s responsibility to request a complete/not suppressed transcript be sent. Please note this will require additional payment.

 

DEFINITIONS

Partial Transcript Hold

The practice of suppressing certain information from a learner’s transcript such as:

  • Final grades for a specific term;
  • An earned credential;
  • The entire content of a term, including course subject, course number, course title, and final grades.

Partial Transcript

The practice of an institution to allow a learner to release only a portion of their academic history.

Example: A learner who has both graduate and undergraduate academic history at an institution may choose to release only their undergraduate history or only their graduate history.

Unofficial Transcripts

Unofficial Transcripts will be provided to all students, regardless of their account status.
